Planning as a team, not alone

Organizing a successful corporate event is difficult to do alone. There are simply too many tasks that need to be coordinated simultaneously. It therefore makes sense to assemble a small organizing team with clearly defined responsibilities. While one person takes care of finding the right location, another can plan the entertainment program. Yet another person keeps track of deadlines and regularly gathers feedback on the current status of the preparations.

Prepare for unforeseen situations

Even with the best preparation, not everything can be foreseen down to the last detail. A speaker might cancel at short notice, technical problems might arise, or the weather might ruin a planned outdoor event. To ensure the event doesn't falter, a plan B should always be in place. An alternative program, covered areas, or the option to move indoors at short notice provide peace of mind.

Coordinate appointments carefully

To ensure maximum employee participation, the date should be set and confirmed well in advance. Simultaneous company events, regional festivals, trade fairs, or the start of school holidays can significantly reduce attendance. Once the date is confirmed, it should be communicated internally as soon as possible. This allows everyone to keep the day free. External partners, such as caterers or technical service providers, can also be involved much more easily this way.

Choose the right location early on

Not every company event needs to take place on the company premises. If employees' families are also invited, company spaces quickly reach their limits. Therefore, it's worthwhile to inquire about suitable locations well in advance.

Availability and size are not the only important factors. Good accessibility also plays a key role. Sufficient parking, good connections to public transport, and barrier-free access should definitely be taken into account.

Food and drinks are essential to any successful celebration. Many companies opt for a caterer or organize a simple BBQ. For smaller teams, a potluck buffet can also be a great solution, where everyone contributes something. This saves costs and creates a more personal atmosphere.

When making a selection, different tastes, vegetarian or vegan options, intolerances, and a sufficient selection of non-alcoholic drinks should be taken into account.

Put together a suitable program

A clear schedule helps to structure the event and provide guests with orientation. The program can include speeches, music, small competitions, or prize draws. Surprises are also usually well-received. At the same time, enough time should be left between the individual program items for conversation and informal exchange.

It's important that the program suits the staff. Some teams enjoy interactive games or small challenges, while others prefer a relaxed atmosphere with music and good conversation. A short official segment, such as a welcome or a brief recap, can be useful – but it shouldn't be too long.

Create the right atmosphere with decoration

Especially in your own business premises, the right decoration creates an event atmosphere. Less is often more. Instead of cluttered decorations, a coherent concept that suits the occasion is recommended. Garlands, colorful accents, and printed balloons with company logos quickly create a welcoming atmosphere and lend the event a professional touch.

Plan on small welcome gifts

A small welcome gift immediately creates a positive atmosphere and shows appreciation for employees. A welcome present is especially appreciated when combined with a thank you for their hard work. It doesn't have to be an expensive gift – often it's the gesture that counts.
